The Information Security Administrative Specialist will provide administrative support to the Information Security Officer (ISO) while gaining foundational exposure to cybersecurity operations. The role is 70% administrative and 30% security-focused under supervision.

Responsibilities

What You Can Expect:

 

Administrative Support (~70%)

  • Manage ISO’s calendar and coordinate meetings across time zones  
  • Draft and manage communications, agendas, minutes, and action items  
  • Organize confidential documents and track vendor deliverables  
  • Process invoices and support budget tracking  
  • Prepare documentation for audits and compliance reviews; presentations for ISO; and processes and procedures for the Security team.
  • Maintain strict confidentiality per security policies  

Security Exposure & Learning (~30%)

  • Assist with IT asset inventory reconciliation  
  • Compile cybersecurity metrics and dashboards  
  • Support phishing simulations and document results  
  • Observe vulnerability scans and incident response exercises  
  • Enter data into GRC tools under supervision  

Qualifications

Technical skills

  • 2+ years in an administrative, executive assistant, coordinator, or office management role (supporting a director/C-level preferred).
  • Calendar mastery across time zones; meeting prep, minutes, and action-item tracking to closure.
  • Drafting and editing professional communications and presentation materials for leadership audiences.
  • Document management and version control (SharePoint/OneDrive or similar).
  • Vendor coordination (renewals, NDAs, scheduling) and basic procurement/invoice processing.
  • Preferred exposure:
    • Ticketing/workflow platforms (ServiceNow, Jira, BMC).
    • GRC tools (Archer, ServiceNow GRC, OneTrust, Drata) and evidence collection.
    • Regulated environments (e.g., healthcare/HIPAA, SOC 2, HITRUST).
    • Security program logistics (phishing-simulation schedules, vulnerability-remediation status tracking, basic metrics).

Education and/or Experience

  • Minimum: High school diploma or equivalent
  • Preferred: Associate or bachelor’s degree in business, IT, or cybersecurity
